Developing a Comprehensive Project Management Platform to Streamline Collaboration, Ensure Checklist Compliance, and Optimize Resource Planning for Enhanced Workflow Efficiency.

Introduction

An internal Squareboat Navigator project management tool called the SDLC Tool aids the team in keeping track of projects as they are onboarded and launched in accordance with the checklist. The tool can also aid in more effective resource planning.

They presently handle their projects using a range of methods, such as Excel spreadsheets, email, and in-person meetings. They have discovered that these technologies do not, however, manage every facet of their projects effectively or efficiently. They require a project management platform to boost team cooperation and optimize their workflow.

Project Brief:

Squareboat Navigator's SDLC Tool is an internal project management tool designed to streamline the process of tracking projects from onboarding to launch. The tool aims to enhance resource planning, improve team collaboration, and optimize workflow by addressing the inefficiencies of current methods such as Excel spreadsheets, email, and in-person meetings.

Secondary Research 📈

After gaining a knowledge of the requirements, I began my secondary research on related project management systems and websites to see how they operate. After conducting secondary research, I spoke with a few top employees and HRs to learn more about their needs and vision for the project.

Primary Research 📝

We conducted user research to discover the needs and pain points of our client’s project managers and team members for this research phase and to better understand our users and their trouble concerns. We conducted surveys, interviews, and user observations while they were working. We interviewed some people. In order to ensure a positive user experience, the results had assisted us in defining opportunities that would be transferred into the web application.

Some insightful discussions with my users!!
Insights received from the users
  • Problem in tracking through projects and timeline of each employee

  • Lack of transparency and communication among team members and various departments

  • Difficulty in tracking project progress and tasks

  • Difficulty in creating and sharing project documents

  • Difficult to remember the end date, no alert shown

  • Faces problem during giving update and timeline to clients.

  • Individual Team member needs to give a daily update so that Project manager update the timeline due to this reason it takes lots of time of the team.

Now I know what I need to solve. So,

My task was to

  • Need thorough information about various projects and timeline of each employee

  • Tracking ongoing projects.

  • A dashboard that provides an overview of all projects and their progress

  • A task management system that allows team members to assign, track and update tasks

  • A document management system that allows team members to easily access, edit and share project documents

  • A calendar view that shows upcoming deadlines and events

  • A messaging system that allows team members to communicate and collaborate on projects

The project management process 🛣️

After gaining all the insights that we needed, we started mapping out an effective user flow to ensure that our users would be able to execute a certain task successfully.

Wireframes & iterations

Once the flow is confirmed, I started off with the ideation and low-fidelity wireframes on features that could be implemented.

Conclusion

The internal Squareboat team has found the Navigator SDLC tool to be helpful, which makes their lives easier. It was the first time I had used one since I last worked on an internal web application tool. Due to time restrictions, I made an effort to speak with as many firm personnel as possible to glean as many insights as I could. I also suggested that the list of project dates be integrated with built-in calendars, but the implementation and development of this would take a lot of time given the number of client projects we were working on.
